This Privacy Policy explains how CouSync Technologies LLC (“CouSync”, “we”, “us”, “our”) handles personal information when you visit https://cousync.tech/ (the “Site”), contact us, or apply for a job through the Site. It does not cover our products, such as Inbixio, which have their own privacy policies, or information we handle for clients under a separate agreement.
1. Who we are
CouSync Technologies LLC is a US company headquartered at 7901 4th St N, Ste 21782, St. Petersburg, FL 33702, United States, with an engineering team in Lahore, Pakistan. For the purposes of data protection law (including the EU and UK General Data Protection Regulation, “GDPR”), CouSync Technologies LLC is the controller of the personal information described in this policy. You can reach us about privacy at contact@cousync.tech.
2. Information we collect
2.1 Information you give us
- Contact form: first and last name, email address, phone number and your message.
- Career form: name, email address, phone number, address, the role you are applying for, a link to your CV and your cover letter, plus anything contained in the CV you link to.
- Booking a call: your name, email address, the time you choose and anything you add in the booking form. Calendly collects this for us and creates the Google Meet invitation.
- Emails, calls and meetings: anything you choose to share when you write to, call or meet with us.
Please don’t send us sensitive information (for example health information, government ID numbers or financial account details) through the Site. We don’t ask for it and don’t need it.
2.2 Information collected automatically
- Server logs: when you visit, our web server records your IP address, browser and device type, the page requested, the referring page and the date and time. This happens for every website visit and is needed to deliver the Site and keep it secure.
- Analytics (only with your consent): if you click Accept on the cookie banner, Google Analytics collects the pages you visit, time on page, the links and buttons you click (for example, a successful form submission), your approximate location (country and city, derived from your IP address), device, browser and operating system, and the site that referred you. Google Analytics 4 does not log or store full IP addresses.
- Booking calendar (only if you load it): the calendar on the Contact page is provided by Calendly and loads only when you click Show available times or follow a “Book a time” or “Make an appointment” link. Once loaded, Calendly receives your IP address and device information and may set its own cookies.
- Form protection: when a form loads, hCaptcha collects information about your device and how you interact with the captcha to tell people from bots.
2.3 Information from other sources
If you apply for a job, we may look at information you have made public professionally (for example your LinkedIn profile or a portfolio you link to).
3. How and why we use it
We use personal information only for the purposes below. Where the GDPR applies, each purpose has a legal basis:
| Purpose | Information | Legal basis (GDPR) |
|---|---|---|
| Replying to enquiries, scheduling and holding calls, and discussing projects you ask about | Contact form, call bookings, emails, calls | Steps you ask us to take before a contract; our legitimate interest in answering business enquiries |
| Reviewing job applications and contacting candidates | Career form, CV, public professional information | Steps you ask us to take before an employment or service contract; our legitimate interest in recruiting |
| Delivering the Site and keeping it and our forms secure | Server logs, hCaptcha data | Our legitimate interest in running a secure website and preventing spam and abuse |
| Measuring and improving how the Site is used | Analytics data | Your consent, which you can withdraw at any time |
| Meeting legal obligations and protecting our rights | Any of the above, as needed | Legal obligation; our legitimate interest in establishing or defending legal claims |
Where we rely on legitimate interests, we have balanced them against your rights, and you can object at any time (see section 10). We will not use your information for a new purpose that is incompatible with these without telling you first.
4. Who we share it with
We share personal information only with service providers that help us run the Site, under contracts or terms that limit their use of it to providing their service to us:
- Google Cloud (Google LLC) hosts the Site’s servers in the United States. (Privacy notice)
- Google Workspace (Google LLC) hosts our email, where form submissions and messages arrive. (Privacy policy)
- Web3Forms (Web3Creative) delivers the contact and career forms to our inbox. It keeps submissions for up to three years and may check the sender’s IP address and email with spam-filtering services. (Privacy policy)
- Calendly (Calendly LLC) runs the booking calendar and sends the calendar invitation. (Privacy notice)
- Google Meet (Google LLC) hosts video calls you book with us. (Privacy policy)
- hCaptcha (Intuition Machines, Inc.) protects the forms from bots. (Privacy policy)
- Google Analytics (Google LLC) measures Site usage, only with your consent. We use it for statistics only: the tag runs with advertising storage and ad personalisation switched off. (Privacy policy)
- Google Fonts (Google LLC) serves the Site’s typeface; your browser requests the font files from Google, which receives your IP address. (Privacy policy)
We may also disclose personal information: (a) if required by law, regulation, court order or a lawful request from public authorities; (b) to protect the rights, property or safety of CouSync, our users or others, including to prevent fraud or abuse; (c) to professional advisers such as lawyers and accountants under a duty of confidentiality; and (d) to a buyer, successor or investor in connection with a merger, acquisition, financing or sale of assets, in which case this policy will continue to apply to your information or you will be told about any new policy. Within CouSync, access is limited to staff who need it for the purposes above.
5. No selling, no advertising, no profiling
We do not sell personal information, we do not share it for cross-context behavioural advertising, and we do not use it for targeted advertising. We do not make decisions about you based solely on automated processing, including profiling, that have legal or similarly significant effects.
6. Cookies, analytics and your choices
The Site works without analytics cookies. Google Analytics is not loaded at all until you click Accept on the cookie banner, and if you click Decline, it stays off. You can change your choice at any time with the Cookie settings link at the bottom of every page. If you withdraw consent, we stop loading Google Analytics and delete its cookies from your browser. Withdrawing consent does not affect processing that took place before.
Global Privacy Control: if your browser sends a Global Privacy Control (GPC) signal, we treat it as a decline: we don’t show the banner and don’t load Google Analytics unless you choose to accept through Cookie settings. Because there is no agreed standard for “Do Not Track” signals, we rely on GPC and your banner choice instead.
| Name | Provider | Purpose | Duration |
|---|---|---|---|
cookie-consent (local storage) | CouSync | Remembers whether you accepted or declined analytics | Until you clear it or change your choice |
_ga, _ga_<ID> (cookies) | Google Analytics | Distinguish visitors and sessions for usage statistics; set only after you click Accept | Up to 2 years |
calendly-consent (local storage) | CouSync | Remembers that you chose to load the booking calendar, so it appears straight away next time | Until you clear it |
Calendly cookies | Calendly | Run the booking calendar; set only after you load it | Set and controlled by Calendly |
hCaptcha cookies | hCaptcha | Tell people from bots on the contact and career forms | Set and controlled by hCaptcha |
You can also block or delete cookies in your browser settings. Blocking hCaptcha’s or Calendly’s cookies may stop the forms or the booking calendar from working; in that case, email us at contact@cousync.tech instead.
7. How long we keep it
- Enquiries: up to 2 years after our last contact with you. If the enquiry leads to a contract, for the length of the contract and up to 7 years afterwards for legal, tax and accounting purposes.
- Job applications: up to 12 months after the recruitment process ends, so we can consider you for similar roles, unless you ask us to delete them sooner. If you join us, your application becomes part of your personnel record.
- Call bookings: as for enquiries. Calendly keeps booking records under its own policy until we delete them from our Calendly account.
- Copies held by Web3Forms: up to 3 years, under Web3Forms’ own policy.
- Server logs: up to 90 days, unless needed longer to investigate a security incident.
- Google Analytics data: up to 14 months.
We delete or anonymise information when it is no longer needed, or earlier if you ask and we have no legal reason to keep it.
8. International transfers
We are based in the United States and our team works in the United States and Pakistan, so your information is processed in those countries. Our service providers may process it in the United States and other countries. These countries may not have the same data protection laws as yours. Where the GDPR or similar laws require it, we protect transfers with appropriate safeguards, such as the European Commission’s Standard Contractual Clauses (and the UK Addendum) or a provider’s certification under the EU-US Data Privacy Framework, and we apply the protections in this policy wherever your information is handled. You can ask us for more information about these safeguards.
9. Security
The Site is served only over HTTPS, access to personal information is limited to people who need it, and our providers are chosen for their security practices. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal information, we will notify you and the relevant authorities where the law requires it.
10. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and get a copy;
- correct information that is inaccurate or incomplete;
- delete your information;
- restrict or object to our use of it, including where we rely on legitimate interests;
- data portability: receive information you gave us in a portable format;
- withdraw consent at any time (for analytics, use Cookie settings);
- complain to a data protection authority, for example in the EU/EEA country where you live or work, or the UK Information Commissioner’s Office. We’d appreciate the chance to address your concern first.
To exercise a right, email contact@cousync.tech. We may need to verify your identity, usually by confirming details you gave us or by replying from the email address we have on file, and we will respond within the time required by law (one month under the GDPR, which can be extended in some cases; 45 days under US state laws). We won’t charge a fee unless a request is clearly unfounded or excessive, and we will never treat you differently for exercising your rights.
11. Additional information for US residents
This section supplements the policy for residents of California and other US states with comprehensive privacy laws (such as Colorado, Connecticut, Virginia, Texas and Oregon), to the extent those laws apply to us.
Categories collected in the last 12 months, from the sources and for the purposes in sections 2 and 3, and disclosed for business purposes only to the service providers in section 4:
- Identifiers: name, email address, phone number, postal address, IP address.
- Professional or employment information: job applications, CVs and cover letters.
- Internet or network activity: server logs and, with consent, analytics data.
- Approximate geolocation: country and city derived from your IP address.
- Inferences: none. Sensitive personal information: we do not intentionally collect it, and we do not use any for purposes that would give you a right to limit its use.
We do not sell or share personal information (as those terms are defined in the California Consumer Privacy Act), and have not done so in the last 12 months. We do not knowingly sell or share the personal information of anyone under 16.
Your rights: to know or access what we collect and how we use and disclose it; to delete; to correct; to opt out of sale, sharing or targeted advertising (which we don’t do); and not to be discriminated against for exercising these rights. You can use an authorised agent to make a request; we may ask for proof of their authority and verify your identity directly. If we decline your request, you can appeal by replying to our decision with “Appeal” in the subject line; we will respond within the time your state’s law requires, and if you’re not satisfied you can contact your state attorney general.
12. Children
The Site is meant for businesses and job seekers. It is not directed to children under 16, and we do not knowingly collect personal information from children under 13 (or under 16 where local law sets a higher age). If you believe a child has sent us personal information, email us and we will delete it.
13. Other websites
The Site links to other websites and services, such as our LinkedIn and Instagram pages and our products. When you follow those links, the other site’s privacy policy applies, not this one.
14. Changes to this policy
We may update this policy to reflect changes to the Site, our practices or the law. We will post the new version here and update the date at the top. If we make a material change, such as using your information for a new purpose, we will make it clear on the Site before the change takes effect and, where the law requires it, ask for your consent.
